How do I upload a document (POD/BOL)?

 

Sending Convoy an approved bill of lading (BOL) or proof of delivery (POD) is required for payment regardless of whether your carrier receives payment directly from Convoy or uses an external factoring company.

 

Per the rate confirmation sheet, several programs and incidentals require documents to be submitted electronically via the mobile app or Carrier Web for eligibility. Offerings such as QuickPay™, Detention, and Lumpers also require that the BOL is uploaded within 24 hours of shipment completion or cancellation. BOLs can also be submitted via email to support@convoy.com, but by using this method, you may become ineligible for specific Convoy offerings. Convoy does not accept any other method for BOL submission.

 

Please make sure that your BOL and paperwork are accurate. Common reasons for paperwork rejection are missing pages, poor image quality, incorrect shipment information, and missing proof of delivery. When picking up a shipment, take the time to understand what paperwork is required and contact Convoy immediately at 425.214.1769 if you notice mistakes. Convoy reserves the right to withhold payment until you submit accurate paperwork and it is validated by Convoy. 

 

Documents uploaded for QuickPay™ Same Day shipments are typically reviewed within 7 hours, and all other documents are typically reviewed within 24 hours of submission. Should the documents be rejected or incomplete, the document approval process may surpass these thresholds.

 

Upload a Document via the Convoy App

During a load:

  1. Open the Convoy app and tap "My Loads".
  2. Open the "Booked" load you wish to upload a document for.
  3. Tap on the "Docs" tab and tap"Add Page".
  4. Select the document type and tap "Next".
  5. Select "Take photo" to take a new picture, "Choose from library" if you have already taken a photo, or "Choose PDF" if you have a PDF of the document available for upload. You will need to confirm the Convoy app can access your camera of photos if this is your first time using the feature.
  6. Ensure the photo is legible and tap "Next". If you need to retake a photo, use the "Retake" option. Otherwise, tap "Confirm".
  7. Once you have added a photo of every page of the BOL, tap "Rate Job" and provide a review for the facilities and Convoy. 

After a load is completed: 

  1. Open the Convoy app and tap "My Loads".
  2. If you have any loads with "Docs Missing" "Docs Pending Approval", and/or "Docs Rejected", you'll see folders at the top of the "Booked" tab, or you can search for individual loads in the "Completed" tab. 
  3. Tap on the "Docs" tab and tap"Add Page".
  4. Select the document type and tap "Next".
  5. Select "Take photo" to take a new picture, "Choose from library" if you have already taken a photo, or "Choose PDF" if you have a PDF of the document available for upload. You will need to confirm the Convoy app can access your camera of photos if this is your first time using the feature.
  6. Ensure the photo is legible and tap "Next". If you need to retake a photo, use the "Retake" option. Otherwise, tap "Confirm".

 

Upload a Document via the Carrier Web

  1. Log into Carrier Web with your phone number and six-digit verification code.
  2. Tap on "Booked Loads" or "Completed Loads"  to locate the shipment relevant to your document.
  3. Locate the "Load Details" panel on the right side of the page.
  4. Click the red dropdown button "Upload Documents" and select the appropriate document type.
  5. Upload the appropriate document from your device. You can view uploaded documents in the mobile app or carrier web, but documents can not be deleted. 

 

Please remember, you can follow the same steps to upload pictures of other documents, such as lumper receipts and scale tickets!
